How Auto-tags work in SparrowCRM
Auto-tags give a quick read of where a contact, company, or deal stands, without opening every insight. Some tags follow fixed rules, such as days since the last activity. Others are judged by Zulie from emails, calls, and meetings. Each tag comes with a one-line reason explaining why it was applied.
Setting up tags
Tags work out of the box. The tag list, the rule behind each tag, and its thresholds (such as the 14-day windows, the Engagement Score cutoff of 70, and the company priority order) are built in. Custom tags can't be created, and thresholds can't be changed.
For tags to appear, these need to be on:
- Auto-tagging for the object (Contacts, Companies, or Deals)
- Auto-enrichment for the object
- Zulie AI for the workspace
- AI credits available in the workspace
Tags at a glance
The same tag name can appear on more than one object, but the rule behind it may differ. The sections below give the exact rule for each object.
The Set by column shows how each tag is decided:
- Rule: the tag is applied when the record's data meets a fixed condition. Nothing is interpreted, so the same data always gives the same tag.
- AI: the tag is applied when Zulie, after reading the record's emails and conversations, judges that the signal is present. The outcome depends on what was said and how clearly it came across.
Tag | Contact | Company | Deal | Set by |
|---|---|---|---|---|
New | Yes | Yes | Yes | Rule |
Untouched | Yes | No | Yes | Rule |
No Activity | Yes | No | No | Rule |
Stalled | No | Yes | Yes | Rule |
Ghosted | No | Yes | Yes | Rule |
Overdue | No | No |
Tags are separate from scores. A tag never changes a Fit Score, Engagement Score, or Deal Score.
When tags update
Tags refresh together with a record's AI insights, when:
- The record is created
- Key details on the record change, such as its name, associated records, or, on a deal, its amount, stage, or close date
- An inbound email related to the record arrives
- A meeting recording related to the record finishes processing
The first update after a change starts within a few seconds. If more changes follow soon after, the next update waits up to 10 minutes, so a burst of edits is analyzed once. One extra update runs 2 days after the record is created.
Opening a record does not refresh its tags, and there is no manual refresh. Once a deal moves to a closed stage (won or lost), its tags stop updating.
If Zulie can't complete its analysis on an update, the AI tags are skipped for that update. Rule-based tags are still applied.
Contact tags
A contact can have any number of tags.
Tag | Applied when | Set by |
|---|---|---|
New | Created less than 2 days ago, with no activity yet | Rule |
Untouched | Created 2 or more days ago, still with no activity | Rule |
No Activity | Has activity, but the latest is 14 or more days old | Rule |
Strong Engagement | Engagement Score is 70 or higher | Rule |
Weak Engagement | Engagement Score is 69 or lower | Rule |
High Interest | Engagement Score is 70 or higher (always appears with Strong Engagement) | Rule |
Low Interest |
A few things to know:
- New, Untouched, and No Activity never appear together.
- Engagement and interest tags appear only after the contact has activity.
To learn how the Engagement Score is calculated, see How Contact AI Insights Work.
Company tags
A company shows up to 4 tags. Every tag is checked on each update, then the tags that apply are ranked by priority, and the top 4 are shown.
Priority | Tag | Applied when | Set by |
|---|---|---|---|
1 | At Risk | Zulie reviews the last 30 activities from the past 45 days and the associated contacts. Applied when at least one risk is present: no decision maker, discounts discussed, low contact engagement, negative sentiment, objections, budget concerns, champion risk, declining responsiveness, or a competitor mentioned | AI |
2 | Stalled | Has activity, but the latest is 14 or more days old | Rule |
3 | Ghosted | Has activity, but no inbound reply in the last 14 days and no upcoming meeting | Rule |
4 | Pending Tasks | At least one task linked to the company isn't marked done | Rule |
5 |
A few things to know:
- Warning tags rank above positive ones. When 4 or more warning tags apply, positive tags like Strong Engagement won't show, even though they still apply.
- Only one engagement tag can apply at a time.
- Companies don't have an engagement score of their own. Engagement tags use the most engaged contact at the company.
- New applies only to companies with no activity, so it never appears with Stalled or Ghosted.
Deal tags
A deal can have any number of tags.
Tag | Applied when | Set by |
|---|---|---|
New | Created less than 2 days ago, with no activity yet | Rule |
Untouched | Created 2 or more days ago, still with no activity | Rule |
Stalled | The latest activity is 14 or more days old | Rule |
Ghosted | Has activity, but the customer hasn't replied in 14 or more days | Rule |
Overdue | The close date has passed | Rule |
Strong Engagement | At least one contact has an Engagement Score of 70 or higher | Rule |
Weak Engagement | At least one contact has an Engagement Score of 69 or lower |
A few things to know:
- A deal with several contacts can show Strong Engagement and Weak Engagement together, when one contact is highly engaged and another isn't.
- New and Untouched apply only to deals with no activity, so they never appear with Stalled or Ghosted.
