Meeting Intelligence

SparrowCRM records, transcribes, and analyzes every customer meeting to surface insights that help teams sell more effectively. Meeting Intelligence turns conversations into structured data, identifying what was discussed, how it went, what needs to happen next, and what signals to pay attention to.

AI analysis is only available for meetings that are recorded and transcribed.

Settings controls how recordings, transcripts, and AI features are configured for the workspace.

Pre-meeting is where AI prepares you before a conversation starts. When you open an upcoming meeting, SparrowCRM pulls together participant profiles, recent touchpoints, suggested strategy, and questions to ask so you walk in informed.

Post-meeting is where AI analyzes what happened. Once a meeting is recorded and transcribed, SparrowCRM generates summaries, minutes, meeting scores, buying signals, red flags, objections, key takeaways, and recommended next actions.

Setting Up Meeting Intelligence

Recording Default

To configure how recordings are handled across the workspace:

  1. Go to Settings > Objects > Meetings > General.
  2. Under Recording default, choose one of three options:
    • Record all meetings and calls by default
    • Always ask before the meeting or call
    • Do not record any meeting or call

Recorder Settings

To customize the recording bot that joins meetings:

  1. Go to Settings > Meetings.
  2. Edit the recorder name (default: "Zulie AI notetaker").

The name and avatar appear to all participants when the bot joins.

Recording Retention

To configure how long recordings are stored:

  1. Go to Settings > Meetings.
  2. Set the Recording retention period.

Recordings and transcripts older than the selected period are automatically deleted. The default is 1 month.

Auto-Share

To automatically send notes to all attendees after a meeting ends:

  1. Go to Settings > Objects > Meetings > General.
  2. Toggle on Auto-share meeting and call notes with each participant after it ends.

Access and Permissions

To configure meeting access controls:

  1. Go to Settings > Objects > Meetings > General.
  2. Toggle the following options:
    • Allow meeting participants to add other people to calls
    • Transfer meeting ownership if organizer changes roles or leaves

Post Meeting Feedback

To collect feedback after meetings automatically:

  1. Go to Settings > Objects > Meetings > General.
  2. Toggle on Send a feedback form after every call or meeting.

AI Task Recommendations

To control which categories of AI-generated tasks appear:

  1. Go to Settings > Objects > Meetings > AI Configuration.
  2. Toggle the categories:
    • Meeting Scheduling & Preparation - rescheduling/canceling, invites and prep, agenda reminders
    • Follow-ups & Communication - follow-ups, recaps, resources, post-meeting check-ins
    • Pipeline & Deal Actions - alerts on key deals, adding stakeholders, managing tasks
    • CRM & Contact Management - new contacts, info updates, ownership assignment
    • Reminders & Nudges - forms, reminders, gentle follow-ups

Meeting Overview Configuration

To select which sections appear in the pre-meeting Overview:

  1. Go to Settings > Objects > Meetings > AI Configuration.
  2. Check or uncheck the relevant options:
    • All conversation summary (includes emails, calls, meetings)
    • Summary about attendees
    • Strategy to follow
    • Questions to ask
    • Attendee Info
    • Recent Touchpoints

Pre-Meeting

When you open an upcoming meeting, the Overview tab serves as an AI-generated briefing that helps you prepare before the conversation starts.

AI Summary

A natural language overview of the relationship so far, covering recent engagement, key topics from previous conversations, sentiment trends, and what to focus on next.

Pre-Meeting Preparation

An expandable section that brings together context about the people and the account.

Participant info shows cards for each attendee with:

  • Name and role
  • LinkedIn profile link
  • A short summary of their background
  • AI-generated Ice Breaker Questions tailored to each person

Latest interaction shows:

  • A recap of the most recent meeting or conversation with the prospect
  • A recording thumbnail with a "View recording" link if available

Recent Touchpoints shows a timeline of the prospect's latest activity:

  • Email opens with "view email" links
  • Website page visits
  • Support emails with "view email" links

Suggested Strategy

AI-generated recommendations for how to approach the meeting based on the attendees, deal context, and recent activity. Recommendations may include actionable links where relevant.

Try Asking

Clickable question buttons generated based on the prospect's specific situation and needs. These give reps a starting point for the conversation.

Right Panel (Pre-Meeting)

The right panel displays contextual information pulled from associated records:

Post-Meeting

Once a meeting is completed and recorded, Meeting Intelligence analyzes the recording and transcript to generate summaries, insights, tasks, and performance data.

While the analysis is running, a progress banner appears: "Summarizing your meetings - Analyzing your meeting's recording and transcript to prepare your notes, insights, and the next steps."

Overview (Post-Meeting)

The Overview tab shifts to show:

Meeting recording displays:

  • Recording title
  • Date and duration
  • "View recording" button

AI Summary provides a natural language recap of the conversation covering engagement, key topics discussed, sentiment, and recommended next steps.

Minutes of meeting organizes AI-generated notes by topic. Each meeting produces a different set of topics based on what was discussed, with bullet points summarizing the key points under each.

Next actions lists AI-generated tasks with:

  • Task description
  • Priority tag (High, Med)
  • Due date
  • "All tasks" link to see the full list

Recording Viewer

To open a recording:

  1. Click View recording from the Overview tab or the meeting card.

The recording viewer includes:

  • Video playback with standard controls
  • AI Meeting Summary displayed alongside the recording
  • Minutes of meeting organized by topic

Below the video, four tabs provide different ways to work with the recording:

  • Transcript - the full conversation transcript
  • Speakers - speaker breakdown and attribution
  • Notes - notes linked to the meeting, with + New note to add more
  • Tasks - tasks generated from the meeting

Insights

The Insights tab surfaces AI-analyzed data from the conversation.

Meeting Score is an overall score out of 100 that evaluates the quality of the conversation. The score includes a label indicating performance level, what drove the score, areas of strength, and areas for improvement.

Meeting Stats breaks down how the conversation was balanced across participants:

  • Talk Ratio - percentage of speaking time per participant
  • Engagement - engagement level per participant

Buying Intent Signals surfaces specific moments where buying intent was detected. Each signal shows:

  • Description of the signal
  • Timestamp
  • Link to that moment in the recording

Red Flags Detected highlights moments that could indicate risk or concern. Each flag shows:

  • Description of the risk
  • Timestamp
  • Link to the recording

Participant Analysis provides a per-participant breakdown showing:

  • Name and role
  • Engagement percentage
  • Sentiment percentage

Objections Handling captures objections raised during the meeting. Each entry shows:

  • Description of the objection
  • Timestamp
  • Link to the recording

Key Takeaways lists the most important points from the meeting. Each takeaway shows:

  • Description
  • Timestamp
  • Link to the recording

Tasks

The Tasks tab shows all tasks associated with the meeting in two sections.

All Tasks displays manually created and completed tasks in a table:

  • Task name
  • Due date
  • Assignee
  • Completed tasks appear with a strikethrough

To create a task from the meeting record:

  1. Click + New Task.
  2. Set the title, due date, and assignee.

AI Recommended displays tasks suggested by AI based on the meeting content. These appear separately so teams can review and accept them.

To see only tasks from this meeting:

  1. Toggle on Show only current meeting's tasks.

Notes

AI Important Notes appears at the top in a highlighted section, surfacing the most critical information from the meeting as identified by AI.

All Notes displays note cards in a grid layout. Each card shows:

  • Note title
  • Content preview
  • Author
  • Date
  • Pin icon for quick access

To create a note from the meeting record:

  1. Click + New Note.

To see only notes from this meeting:

  1. Toggle on Show only current meeting's notes.

History

A complete activity timeline associated with the meeting:

  • Calls (connected and no answer) with contact names and timestamps
  • Emails sent and received with content previews and attachments
  • Meeting recordings with thumbnails and "View recording" links
  • Lead assignments and ownership changes

Comments

A threaded comment space for internal collaboration.

Comments support:

  • Emoji reactions
  • Reply threads
  • @mentions
  • Rich text formatting

To post a comment:

  1. Type in the comment field (use @ to mention teammates).
  2. Click Post.

Right Panel (Post-Meeting)

The right panel displays the same contextual information as pre-meeting, plus:

Meeting Intelligence transforms every conversation into structured, actionable data. From pre-meeting preparation to post-meeting analysis, teams get the context they need to sell more effectively and improve with every interaction.
